Job Description

Acting as a single point of contact for all the external and internal parties with respect to Documentation Management for the company.

Establishing of Documentation Control System and Digital file Handling System.

Coordinate and resolve problems arising in different field such as drawings and documents to be missing or damaged to designate authorize personnel.

To ensure the required standard of the documentation management and control system for the contract is maintained at all time.

Supervision of Document Control Staff.

Controlling the capture and issue of documents / transmittals including the appropriate distribution matrices.

Managing a scanning, validation and indexing process to convert paper document to PDF (Portable Document Format).

Planning, prioritizing and scheduling activities to meet an overall schedule of continuous improvement to Document Management System.

Managing a centralized technical archive including document retention storage.

Basic Function - Provide Company a complete handling / Document control facility in accordance with ISO 9000 Document Management Manage activities concerned with contracts for purchase of equipment, materials, products or services.

Update and link EDMS (Electronic Database Management System) for processing of Project Documents.
Run Database Query for Data Verification.

Advises construction department of contractual rights and obligation.
Liaise between company and subcontractors.
Preparation of Daily / Weekly Report not limited to Work Activities, Equipment and Manpower Status.
Gathering and Compilation of Data for Monthly Summary Progress Measurement Report.
Update weekly progress report using P3 (Primavera Project Planner).

Basic Function - Develop and maintain a system that will improve the handling, safety transferring of digital files meant for MIS system and Handing over of Final Technical Documents (FTD) to the Client SSSP and ARAMCO.
Job Responsibilities:

Ensures the quality records, acceptance certificates, mechanical completion certificates and the documentation for specific system / areas are prepared in accordance with project requirements.
Verify and Check all completed FTD Documents to be handed over to the Client.
Prepare Status Reports of inspected FTD Documents.
Organize for filing of Final Technical Documents on Permanent Archive of Client SSSP.
Organize and study Digital Files to be transferred to MIS servers, ensure correctness of directory structures and file systems in accordance with MIS Procedures.
Ensure the integrity of digital files being transferred to MIS server by counter checking all files. Eg. Drawings, documents, datasheet and specification.
Coordinate and resolve problems arising in different field such as drawings and documents to be missing or damaged to designate authorize personnel.
Update and link DCC UNIX System for all processing of digital files.
Keep track of all As-built and FTD Documents and drawings by weekly report output and progress.
Check all digital files are stored in accordance to Project Wide Directory Structure and Filename Convention Procedures.
Check and compare actual transferred file from UNIX system and MIS System.
Design and develop site Intranet WEB Services, and ensure that updates of Reports, Forms, Quality System Documents, Department Home Pages and other project related requirements are carried out.
Conduct import and export of digital files to and from Document Management System (DMS) and ensure the accuracy of destination files.
Download and Upload Digital Files to designated drives via DMS or VPN Line and GroupWise Email.
