1. Summary (Cover Letter) - CV/Resume Part 1 [Mandatory]

Dear Sir/Madam,

I came to learn of your need for a person with experience in logistics (Procurement, supply, distribution and warehousing). I am really interested in this job position and I believe that my qualifications are sufficient enough for the post.

Currently I am working as the logistics officer for Oxfam GB in Mozambique at the head office. In the past three years, I have been exposed to emergency responses and from the lessons learnt, I have managed to improve a lot. This year, I was the sole logistician in a cholera response where I had to set up an office within a week and stabilize a supply chain. Though the project was short, i.e 3months, the efficiency in which the delivery was done was excellent.

I am also the contact point on logistics issues within the country and act as a link to the other countries. I am involved in procurement (both national and international) which is always timely and under budget according to corporate procedures and ethical policies like accountability, transparency, timely delivery, competition etc. This comes with a lot of effort in putting the paper trail together using tools like requisitions, purchase orders, goods received notes, invoices, receipts, waybills just to mention a few. Also as part of my job profile, I am responsible for asset management which includes tagging, tracking, maintenance, disposal etc. This also to some extent comes together with warehouse management where I keep paper trail of goods with tools like bin cards, stock request, stock reports, stock reconciliations etc. More so, I do other administrative tasks like travel and organizing conferences.

I also give occasional refresher induction to the field logisticians including how to manage files and folders on computers, using different tools i.e. procurement, warehousing, vehicle management etc.

Having worked with people from different backgrounds, it has made me culturally aware and gender sensitive. This comes as a result of good communication skills, diplomatic approach, honesty, reliability, ability to adapt easily in different environments among other virtues. I can work comfortably under loads of pressure and this has been put to the maximum test in the past two years, where I have been the lead logistics officer in the flood emergency response at the Zambezi Valley in Mozambique where time was not on our side but I managed to deliver. This may be seen in that I procured for two different projects during the first phase of the emergency separating every process according to donor requirements not putting aside accountability not only to the donor but also to the beneficiaries. The follow up of these was done during the warehousing where goods were categorized by their type and the donor.

Sep 2006 – Present Logistic Officer


§ To ensure that the Oxfam logistics systems, procedures and working practices are adhered to.
§ Procurement of goods and services for the head office and the field offices not only nationally but also internationally and ensuring fast delivery during emergencies.
§ To keep records of and maintain contacts with suppliers and local repair/maintenance shops, and to conduct price comparisons among them, in order to get the best deals.
§ To establish and maintain good contacts with suppliers, government offices and other NGOs with regards to logistical matters.
§ To ensure that the proper administrative procedures and standards for requisition tracking, purchasing, stock keeping and dispatch are followed in the country.
§ To visit teams and programmes regularly, in order to monitor the systems, procedures and logistic personnel including preparing job descriptions for logistics staff.
§ Supervise and train the staff within and outside Logistics team to work towards the achievement of overall programme goals through lateral relations and teamwork.
§ To submit an annual budget for logistics costs to the Finance Manager based on annual procurement and supply plans.
§ Be responsible for submitting a monthly report to the RMC on Logistics issues for all country offices.
§ To provide training/induction on logistics to new staff.
§ Focal point on logistical matters during emergencies. This begins from being part of the assessment, office and communications set up, drafting job descriptions, hiring and training local HR.

Nov 2005 – Aug 2006 Assistant logistics


§ Develop and maintain sound asset management and inventory control system that include the issue of equipment and supplies while maintaining updated inventory record (both soft and hard copies) for different sources of funding.
§ Review all procurement requests, and initiate appropriate action, including contacting local vendors, obtaining cost estimates and preparation of the purchase orders.
§ Prepare Receipt and Inspection reports for all incoming equipment and supplies that include goods received note among others.
§ Timely maintenance of fleet vehicle and equipment.
§ Be responsible for warehouse operation – storage and utilization providing support to Program in the storage and accounting of equipment and supplies.
§ Responsible for premises upkeep and also act as a Security Officer.
§ Understand roles, responsibilities and activities across the programme establishing and maintaining effective working relationship with other staff, volunteers, finance and programme department.

Training on Project Sphere
Launched in 1997 by a group of humanitarian NGOs and the Red Cross/Red Crescent Movement, Sphere has developed a handbook of standards for 4 sectors (Water/Sanitation and Hygiene Promotion; Food Security; Nutrition and Food Aid; Settlement and non-Food Items and Health Services). The cornerstone of the book is the Humanitarian Charter, which describes the rights of people affected by disasters. The standards, each with key indicators and guidance notes (covering ‘cross-cutting issues’ such as people living with HIV/AIDS and gender), aim to articulate the implications of fulfilling these rights. An introductory chapter outlines standards, which are common to all sectors, such as Participation, Initial Assessment and Evaluation. The Code of Conduct for the International Red Cross/Crescent Movement and Non-Governmental Organisations (NGOs) in Disaster Relief is an annex in the Sphere handbook.

Training on OPAL
This being a computer system (part of People Soft) that has been designed for use as a programme management tool it enables us to increase our impact on poverty and suffering and our efficiency by supporting effective programme management, accountability and learning.
This is easily attained in that the system makes it easier for us to set out clear programme and project objectives and deadlines, track our progress towards achieving them, identify the strengths and weaknesses in our programme design and management, and learn from them, link performance management with programme/project delivery and to learn about how to bring about change in different contexts.

LEAD Event
This being a capacity building initiative aimed at supporting Oxfam's strategy for a better response to crisis. It is designed to build the capability of individuals and the capacity within the organisation and acts as an initative to facilitate the change in field ways of working. It is not limited to the logistics level!

4. Computer Skills - CV/Resume Part 4 [Mandatory]
With the current team restructure, I am the IT focal point in country. This means that I have to ensure the smooth running of the networking infrustructure (server, VPN, computers and laptops), corporate software as well as Windows based software. This includes basic troubleshooting but at times, with aid from the regional office in South Africa or Oxford based office, they may run me through the more technical software maintenance. The hardware part is basically outsourced.

As a user, I am very skillful with Microsoft Windows and windows based programs like Office (Word, Excel and Powerpoint), Internet, Adobe PDF, Nero just to mention a few.
5. Other Skills - CV/Resume Part 5 [Optional]

§ Presentation skills – Strong presentation skills, both orally and in writing. I can summarise data in to report format, which must be clear and concise and contain the relevant data to suit the audience. I am also quite comfortable in power point presentations.
§ Sales skills – Having worked in a bag factory required both product knowledge and an ability to assess and meet customer needs. This role also helped to develop negotiation skills which is still very useful in procurement
§ Bilingual- having studied in Kenya and being a Mozambican, I am quite comfortable in speaking both English and Portuguese. The latter helps a lot in faintly understanding almost all Latin languages and French. Swahili is an additional language.

§ All my various working environments have been based in team settings, where collaboration and co-ordination, along with planning, effective communication and commitment to team goals, have been essential.
§ Co-operative project work in the current food for security program requires tact, assertiveness and a sense of humour to achieve a successful outcome.

§ I have worked with people from all backgrounds, including multinational companies, customers and colleagues. Through this I have learnt to adapt my register to suit different audiences
