Summary of Professional experience:

Attend to all incoming mails and calls, sorts/logs and distributes as required, receives outgoing mails, logs and distributes.

Types all kinds of correspondences, reports, using personal computer in different software application or typewriters. Simple letters may be self-composed, more complexes transcribed with handwritten drafts.

Prepares various reports and other reference data as source material.

Creates and maintain filing systems, records and indices, including files of confidential nature. Keeps reference files.

Operates a Personal Computer in a Local Area Network Environment or similar equipment as required to satisfactorily perform work assignments.

Provides work direction to lower classified employees as required.

Arranges travel itineraries, ticket reservations, travel advances and ticket purchase as required.

Operates reproduction machines, fax machines and other office machines as required.

Performs any other clerical or miscellaneous duties as requested by the immediate superior.

Do timekeeping and salary issuance as required.

Handling appointments and arranging meetings for the Dept. manager

Worked as an Office assistance to manage the Administration.

Preparation of department organization chart and job descriptions

Preparing monthly statement, Quarterly, and Yearly trail balance for the company.
Preparing of request for quotation and purchase orders, maintaining ledger book of accounts payables and receivables.

Documentation review, routing, copying and filing.

Prepare progress report and monthly planning schedule for the site activities.

Assigned in Document Control Section, responsible for all outgoing correspondence to Client, Sub-Contractors and incoming from Client, and Sub-Contractors, distribution, log in Microsoft Excel and filing in proper place.

Maintain all aspects of the technical records and library. Frequent assistance extended to engineers, designers /draftsmen and plants personnel for information retrieval.

Handling all typing jobs like Quotation, Delivery Note, Purchase Order and other office related job. Distribution outgoing and incoming correspondence and filing in proper place.

Maintain and up to date records of all sections individually.

Prepare the various business Documents, Quotations and Reports.

Maintain over all key accounts, assist the phone call etc.

Handle all kinds of communication by preparing memos of internal & external, within company and various clients.

Receive & log all documents before being forwarded to assignee.

Prepare weekly, monthly status reports of Safety Function, Civil & Mechanical activities.

Preparation of Weekly, Monthly reports which includes all the information about the Daily activities.

Preparing the Yearly Technical Training Plan, employee registration for Technical training, preparation of Technical Training schedules, Registering employees to the concerned Training Institutes in-house, in-kingdom and abroad.
Preparation for inter office Memos & Circulars, Daily Reports, Incident / Accident Reports, Quality Incidents Report.

Preparation of Departmental Organization Chart and job descriptions.

Preparing technical reports and graphical presentations as and when required.

Enter the data into Ledger every week based on the details of daybook.

Keeping correspondence with all the departments and making of schedules and arranging the meeting with one department to another as per Managers Instructions.

Maintaining analysis Cash Book including branches and Head Office Accounts.
Maintaining General Ledger, Sundry debtors’ ledger and Purchase & Sales Registers.
Preparing weekly statements for the Head Office with Income & Expenses of Branches
Preparing Monthly detailed Management Report containing Sales Analysis, Purchase Analysis, Remittance Details, and Sundry Debtors details of all branches
Preparing Monthly Sundry Debtors analysis with age report. Co-ordination between Suppliers and Customers

Preparing Trial Balance with Informative details to the Management. Preparing Yearly Profit & Loss Statement and Detailed Balance sheet.
Entering all type of purchase
Preparing Stock evaluation sheet with Age reports
 Prepare sales, purchase and stock register.
Preparing Stock evaluation sheet with Age report
Handle daily collections from all branches
Deposit the collection to the Bank in daily basis, Reconciliation of Bank Account statements
