Responsibilities : Maintaining and updating the Director’s & MD’s diaries.

Supporting the MD's secretariat in all secretarial functions including but not limited to taking dictations in shorthand, drafting letters, memos, minutes of meetings, agreements, spreadsheets, faxes, e-mails, filing, screening telephone calls with utmost tact and discretion.

Maintain, upgrade, and document MD’s private library comprising of valuable technical books, journals, and company profiles for easy retrieval.

Prepare and update company prequalification document for submission to clients.

Review finished materials and reports for completeness, accuracy, format, compliance with policies and procedures, and appropriate English usage

Processing high-value CTC/GTC tender documents, preparing bid bonds, putting together complete techno-commercial bids in place, and timely submission to client on behalf of our prestigious overseas principals.

Devised and implemented “a filing system that works” for the MD’s secretariat. Replicated same for the projects office and archives section.

Travel arrangements, visas, driving license, furnished accommodation and transportation for senior and middle level expatriate oilfield staff.

Provide housekeeping assistance for the MD’s secretariat to ensure absolute dignity and decorum of the office.

Open mail and either forward to appropriate department or route for handling to appropriate team members.

North Field Development Project (NFDP)

Position : Office Administrator

Responsibilities : Worked for the P.F.O. Group (Preparation for Operations) at QGPC, which was in charge of monitoring this multi-billion dollar project - a BECHTEL TECHNIP JV, from erection to commissioning of various plants, i.e., NGL-2, NGL-3, Sulfur and Acid Gas Recovery units.

Reporting to the Commissioning Manager - NFDP, job involved liaison with the Managing Consultants, typing of dictated notes, letters, reports, site memos, O&M manuals, operation of DEC 3400 Micro Vax Project Completion System for updating punchlists and mechanical completion records.

Devised and successfully implemented a filing system for more than 100,000 MCRs, immaculate maintenance of archives, manuals, master prints of data sheets, P&IDs/PFDs, "as-built" drawings, and maintaining a computerized database of project documentation.


Position : Admin Officer

Responsibilities : Supporting the Branch Manager and five Product Engineers of the marketing office, job involved neat execution of dictated letters, memos, quotations, minutes of meetings, tour reports and the entire gamut of administrative and secretarial functions, being the sole secretary for this branch office.
