Dear Madam/Sir,

This is not only an interesting position, but this company is a place where my qualifications and experience can make a difference in that I find it most stimulating and it will allow me to use both my communicative, thinking and numerical skills. I will like to work with the company concerned because it seems tailored to my competencies and experienced.
My previous work experience in dealing with invoicing and administrative assistance has prepared me well for this position such as:
Processing request for the various staffs that will be travelling such as tickets, hotel accommodation and also ensure that the balance sheet is reconciled. I was also responsible in checking and calculating travel & business claims, such as plane, trams, and taxi tickets from the various staffs are processed and booked in the system and payments are initiated following the procedures of the company.
Ensure that questions about commitments and payments in the workflow are updated and followed up in that all the claims being booked in the system are paid on time and all necessary queries are being answered. It was my duty to provide travelling advice to internal and external staff with accordance to the company policy (that is when they have to check, printed tickets). And also process travel agency invoices for the various related expenses.
My ability to priotize and multitask my job has enhanced my ability to focused on time management, in other to do this I do ensure that urgent task in the workload are being dealt with first within a limited time period thereby meeting my daily targets.

Reviewing Deals and approving management, validating and processing of quotations for all incoming customer orders.
Coordinates all customer related commercial activities such as order confirmation, technical information, customer complaints and credit/debit notes handling.
Follow product and price policy according to WW policy & procedures, discount policy and revenue recognition.

Ensure that the various managers, that is Sales, Finance, Product are contacted, they have to check the necessary information and to also advise if the customer in question is credit worthy before proceeding in placing an order.
Ensure that customers are currently informed with respect to innovations regarding the company, and also keep a good and long-lasting relation with the customer in other to prevent them from changing to our competitors.
Checking that the order value maintains the customer within authorized credit limits and policies - Advising prices derived from the contract and advising an optimum delivery point as appropriate
Ensure that delivery instructions are provided to the appropriate supply hub
Issuing order confirmation or other order related advice as requested by the customer
Resolving any order related problems including suggestions for redirection of orders where appropriate.
Order monitoring to ensure on time delivery where ever possible and proactively communicating delivery delays to customers. This is done by tracking the good or order in question on the UPS web site and also contact UPS by phone in case of any doubt or question with regards the advice written on the website.
Receiving enquiries and orders from customers by phone, email, fax etc and ensuring that all necessary information are collected and communicated to the right departments.
Providing coaching to already recorded calls, this will enable us to provide feedback to the agent responsible and this will in turn provide the base for customers to have correct information with regards the company policies.
Also provide assistance in the absence of the Mentor by running reports for Pending cases to be dealt with, with the use of Excel these cases are being shared to the various agent responsible.

Processing of RMA for products that have been returned to the warehouse and also releasing of these RMA when the products have been received at the warehouse.
Responsible for the support contracts of ca. 40-60 customers per quarter and keep the database up-to-date.
Monitored duration of contracts that are made, send out follow up on tenders and renewal and payment of contracts.
Responsible in creating Credit and Debit Notes in case of discrepancy with the customer, where the customer is not satisfied that he has been charged for VAT though he did entered the VAT number in the system when placing his order, shipping customers as well.
