Project : Shell Ethylene Cracker Complex (ECC) Project, Singapore.

Job Involved :

Working in Electronic Database Management System (EDMS) named iDocs

iDocs is an Oracle based Electronic Database Management System developed by ABB Lummus Global, Singapore. It is used for document management with controlled access for document creation, revision control and viewing via a secure vaulting structure for the entire life cycle of the document. Automatic transmittal generation as well as E-mail distribution are part of the iDocs functionality.

All documentation and electronic files (including Seller documents) are managed and controlled via iDocs by all execution offices, Each document is controlled during the complete lifecycle of the document, from inception to final issue, with all issues and versions available, providing an audit trail.

All Detailed Execution Centers (DEC’s) shall use iDocs during the lifecycle of the project to serve as a repository for all deliverable document export facilities including meta data for interfacing with other document management systems.

In iDocs VLMS (Vendor Letter Management System) inbox we received four types of mails.

I. Seller Documents :
• Seller / Vendor mails received in iDocs VLMS inbox , which to be opened and take printouts and send to concerned discipline Lead Engineers (L. E.) by LMS (Letter Management System).
• In VLMS inbox, again mail opened , take printouts of all attachments (drawings & documents) and soft copies are planned and then uploaded in iDocs or filed electronically in concern folder.
• Distributing documents and drawings to concern discipline L. E. threw iDocs.

II. Transmittals ( Engineering Documents) :
• All transmittals to be distributed through LMS to concerned L.E. by referring Distribution Matrix, Judging Tips and consulting with Project Engineers (if any doubt).
• Filed electronically in concerned folders in iDocs.

III. Secretarial Documents / Communication mails
• All Secretarial Documents / Communication mails are uploaded in iDocs in concerned folders and distributed threw iDocs to concern L.E.

IV. Other documents :
• Uploaded commented documents received from L.E. in iDocs concerned folders and distributed threw iDocs to concern Vendor / Seller.
• Keeping records of pending internally documents and outside documents which are send to Vendor / Seller.
