Document Controller

Projects Details:

 Communicate effectively with the project team and outside contractors.
 Preparing drawing and document transmittals
 Distribution and circulation of documents as per Project Managers instruction
 Filing, retrieving, copying or scanning technical documents
 Assign document control numbers to new documents
 Upon receipt of approval from all reviewers for a new or revised document, print document and submit to Client or other Companies and file hardcopy
 Upon receipt of document from Clients or other Companies, scan the document and upload to Network as well as filing the hardcopy
 Maintaining a register of all incoming and outgoing Mails, stamping and recording of mail before circulating for distribution to the Project Manager
 Responsible for the administration of the issue, receipt and filing of all project communications and documents relating to the project
 Receiving drawings and Documents from Client and Subcontractors, maintaining drawing register and filing, distribution of new / revised drawings to departments and engineers
 All documentation outgoing and incoming should be through me
 Preparing security pass, visitor pass and car stickers
 Preparation and submission of transmittals for drawings, documents, all reports, letters

Projects Details:

 Maintaining the project central file up to date. Setting up of project central files as per project quality plan
 Ensure that all incoming and outgoing controlled documents are recorded, filed and distributed to the appropriate people or organisations as specified or as instructed by the project manager
 Ensure all controlled documents registers are initiated and kept up to date
 Ensure all data in electronic and hard copy form is stored efficiently and is readily retrievable in an easy to use format
 Maintain an accurate system for tracking documentation and drawings
 Electronic filing of all daily incoming correspondence and manual filing
 Filing, retrieving, copying or scanning technical documents as instructed by Project Manager
 Receive contract documents and make sure that all relevant documentations are incorporated as per procedures prior to final signature
 Distribution and circulation of documents as per Project Managers order
 Communicate effectively with the project team and outside contractors
 Distribute documentation to the project team in a timely and accurate manner
 Preparing drawing and document transmittals
 Preparing the correspondence, reports for all the projects
 Maintain Drawing Issue Register and Incoming Drawing Register in the computerized system
 Preparation and submission of transmittals for drawings, documents, calculation, Specification documents and project quality plan
 Responsible for all incoming mail, faxes and filing
 Maintaining a register of all incoming and outgoing mail, stamping and recording of mail before circulating for distribution to the Project Manager as set out in the Quality Procedures
 Maintaining all files within the filing department
 Opening new files in accordance with Project Quality Plan each new project
 Collecting faxes regularly, recording and sending for distribution to the individuals concerned, photocopying fax if it is marked for someone’s urgent attention and sending them a copy at the same time as the Project Manager
 Attending telephone calls & transferring to the right person
 Drafting letters
 Preparing time sheet for staff
 Coordinating with HR department @ Main office
 Handling petty cash
 Store keeping
