Materials Coordinator
Brownfield upgrade Projects.
Functions & Responsibilities:
The work process aims at ensuring the availability of the purchased and free issue materials and relevant handling documentation at the established delivery point, in accordance with the order conditions and, whatever the case may be, within the scheduled time limits.

Furnish reliable and up-to-date information on supply progress, controlling all phases of the preparation cycle, checking the punctuality of information exchange, promptly identifying potential delays, analyzing the causes and proposing the corrective actions necessary to minimize any identified or anticipated deviations

Ensure the correct execution of receipt of materials (cost assessment of the materials made available)
Cooperate to ensure the availability of all information regarding supply development that may be useful for a correct application of liquidated damages for late delivery, if any.

Prepare material take off tables for particular scopes of work within the project. Analyze material requirements from drawings and create material requirement sheets.
Summarize material quantities from different sheets to produce and submit exact material take off figures.

Prepare fabrication requisition for required scope of work.
Check requirements against expediting status reports and stock registers. Raise issue notes for warehouse and provide fabricating contractor with full material scope to commence fabrication.
Ensure fabrication processes meet project schedule.

Control certification traceability of stored goods. Prepare and continuously update cert tracking registers.
Liaise with procurement and logistic departments in order to provide timely delivery of materials and all necessary equipment.
Contact offshore material controllers on a daily basis to ensure that platforms are supplied with all needful goods and equipment.

On a weekly basis report to a project asset focal point on all ongoing processes within materials department, including submitting of planning curves.

Work in close collaboration with warehouse to ensure materials and equipment stored correctly and inline with Amec policies and procedures.
Ensure warehouse personnel is provided with all needful tools and equipment including consumables.
Monitor warehouse storage space on a monthly basis to ensure that sufficient room is available for storage of materials.
Track material transfers from warehouse to fabricator, back loads from platforms, intersite transfers etc.
Liaise with vendors for any materials, equipment or services required for the project.
Carry out safety meetings for warehouse personnel to ensure everybody understand rules and regulations job to be done in accordance with.
Submit shortage reports to the project management group on a monthly basis to show progress.
Raise and track purchase and fabrication requisitions in PAMMS (Procurement and Materials Management System).
SYSTEM GRN INPUTS, MATERIAL ISSUES AND TRANSFERS. Regularly change HIRE MATERIALS & weekly report hire materials (on board) status Attend daily progress meeting & provide Fabrication Supervision with update info.
Organize replacement of materials from CA with other platforms.
Prepare daily POB (people on board) & report to CA Fab. Supervisor/Hook Up Manager Prepare Holiday & PPE request, for the all Amec personal on board. Daily Bedding (ROOM) plan for the mobilized & demobilized personal.

• Bagging & tagging materials in accordance with offshore requisitions.
• Manifesting outgoing materials. Preparing Load Lists & Deck Cargo issues.

• Working in close contact with offshore materials group in order to achieve best results in successful completion of start up & commissioning phases.

• Checking incoming delivery documents for appropriate and accurate material codes and descriptions.
• Creating and routinely updating MTN (Material Traceability Number) register for piping and structural related materials.
• Keeping and updating DRR (Daily Receipt Register). That includes MMT / PO / Delivery Note numbers, dates, weights etc.
• Regular material issue documentation preparing (WIN [Warehouse Issue Note] for project related materials and for consumables, commissioning etc.)
• Responsible for SI (Site Instructions). Imply immediate action to satisfy rapid construction schedule changes. Includes checking of interchangeability, and issuing / reserving needful materials.
• Materials allocation. Includes empty stock places monitoring and reporting, dimensions checking and comparison with available stock space.
• Cargo manifesting of all outgoing materials. Includes project to project transfers, loans, rubbish disposal, equipment repair etc.

• Timekeeping Includes manpower working schedules preparation in accordance with warehouse needs timesheets preparation on a weekly basis
• Preparing ETA (Estimated Time of Arrival) and MDS (Materials Delivery Schedule) reports on a weekly basis
• Physical stock check & inspection
• Bagging allocation of materials against locating
• Packing for shipment
• Receiving all kind of material (structural, piping, electrical etc).
• Solving out problems with shortages; overages and damages of delivered materials.
• Control over all materials movement including vendor materials.
• Allocating inventory No’s to materials & equipment
• Providing correct issue of materials including issuing by drawings.
