I have more than 10 years work experience in the Document Control field with multinational companies in oil & gas and petrochemical projects, I worked for Morrison Knudsen Int.(Washington Group Int.) in waste water treatment plant project in Aswan-Egypt funded by USAID. also I worked for DLC, A J.V. OF Kellogg Brown & Root (KBR), Japan Gas Company (JGC) and Technigas Reunidas (TR) in Damitta LNG Project - Egypt and currently I am working for UHDE GmbH in Ammonia/Urea - Fertilizer Projects as Lead Document Controller.

Throughout these years I won big experience in documents management systems and work techniques with clients, EPC and how to deal with documentation software such as (EDMS, Documentum, DMS/SAP) to track all technical documentation and manage flow of information that enables management to devote more time to essential duties by providing filing and distribution systems that have ready access to all correspondence.

I enjoy working with the public, as well, educating others in their uses.

Main Duties

•Provide the document management services for all company running projects, Supervise and co-ordinate the activities of a Document Control staff. Ensure accurate and timely release of all document changes.
•Managing the registration of all project technical documentation (Incoming/Outgoing) into the DMS / SAP System and Issue transmittal letters to subcontractors, client and sites.
•Manage the capacity planing for the DM function according to projects time schedule, also review hours booking from the cost point of view for document management staff for all sites.
•Analyse new contracts requirements based on client needs and workflow for documents handling.
•SAP-DMS System configuration, implementation for new projects into DMS.
•Provide training for new coming SAP-DMS users and improve the knowledge of old users with monthly workshop to discuss system problems (if any) and possible solutions.
•Issue authorised documents in a consistent format in accordance with the Document Control Procedures and ensure that latest revisions of all docs/dwgs are distributed as per the matrix.
•Generate weekly overdue documents list based on documents status and distribute it to project management team in order to expedite the critical items.
•Co-ordinate with subcontractors document control centres to ensure that company corporate systems are implemented.
•Designing and implement document management procedures such as document coding system, documents distribution and approval, correspondence and meetings procedures, documents classification for progress control.
•Establish a method for better communications and understanding between parties involved in document interchange.
•Assess the staffing required for the document management function and to recruit, manage train evaluate document control staff.
•Mange distribution of engineering documents (Hard and electronic copies appropriately), provide assistant to personnel seeking information and work closely with all members of the project team.

Main Duties

•Ensure that EPCC Contractor understand specified requirements (document numbering, software utilized) and verify that this information is cascaded to sub-contractors and vendors.
•Conduct or participate in audits and/or spot sampling of both Contractors documentation and EDMS supporting system to ensure its adequacy, accuracy as well as correct interfacing with Company Systems and requirements.
•Managing the registration of all project technical documentation (Incoming/Outgoing) into the EDMS (electronic document management system) such as (site documents, subcontractor documents, procedures, test reports…) and Issue transmittal letters to subcontractors, client, and home offices.
•Using desktop client (Documentum) with co-ordination with home office server to view, plot and organise engineering and supplier documents in the docbase and provide users with necessary instruction.
•Communicate with Project Management & Team, Client and Sub-Contractors effectively and resolve problems & issue’s relating to documentation.
•Monitor the EPCC control of Vendor documentation flow, identify areas of concern and advise on corrective measures.
•Ensure the consistency of master data relationships (The Tag nos. Register, Equipment Register, Document Register and relationships between these three).
•Provide help and Support to the rest of the team and proposes alternative courses of action, wherever possible, to facilitate efficient project progress.

Main Duties

•Control of project documents distribution and coordination of action assignments.
•Responsible for establishing, processing and auditing transmittals letters to the owner, engineer and subcontractor also responsible for logging and tracking transmittals letters through computerized system (Score).
•Responsible for transmittals receiving and date stamped, ensure that all documents indicated on transmittal have been received and notify any discrepancies to originator.
•Establishing drawing control system to track drawings, specifications and bid packages, maintain a complete file of bid and contract documents and issue revised drawings to all affected suppliers and subcontractors via transmittal letters.
•Input incoming and outgoing documents into the system (Score) and prepare documents transmittals, accurate filing of project correspondence, reports and drawings, maintain and develop project file index.
•Responsible for auditing the status of transmittals letters and all outstanding RFI’s and other documents that need respond and actions.
•Establishing, maintains, and update computerized listing of vendors to supplement that provided under general services administration contracts.
•Administering supplier’s accounts and issue supplier estimate vouchers for permanent material and major construction supplies.
