Nov 2002 – March 2009 EQUATE Petrochemical Co. Shuaiba (KUWAIT)
Worked in EQUATE Petrochemical Company in Shuaiba Industrial area in Materials Management Department & after in RID/MRO-Stores, formerly know as MM Stores. Duties & Responsibilities are as follows:-
Positioned: Office Administrator cum Stores Coordinator
•Managing office routine work such as writing letter, memos, drafting, scheduling meetings, preparing (MOM) Communicating to units, vendors, through intranet sending & receiving faxes, e-mails, "Self Correspondent".
•Preparing all types of permanent gate passes for EQUATE Employees/ Resident Contractors, Vehicles, & Materials Out-Permits and tracking their expiry date for next renewals
•Preparing daily GP for vendors to supply the material in stores based on our Equate "Buyers" issued RFQ/PR/PO after proper verification with description & quantity of the material through SAP system.
•Issuing Out-Permit for the materials to be sent-out from EQUATE for Calibration, Return back to supplier, Rejected, Damaged or for Exchange, after inspection and quality control of all field related materials such as pipes, flanges, valves, bolts, gaskets, instruments compression fittings, structural steel, gas cylinders, hoses, gauges & etc.
•Facilitate notifications/work orders & work permits for any maintenance jobs, also coordinating with RMD Electric section for arranging (HOT & COLD) work permit related to stores activities.
•Coordinating with units/vendors for incoming materials related to new projects Ol2k, EU-2/EG-2 and arranging the appropriate location for storing the materials
•Coordinating with RMD & other units on internal & external level for arranging the heavy Equipment & Vehicles as Forklift, Crane, Trailers, Boom Trucks etc, in order to load/unload materials.
•Assisting N-K Storekeepers on various fields, such as Materials Receiving, Issuing, Binning, Preparing RTS and VQM as stores related activities.
•Arranging EQUATE Basic Safety Training Cards for our Dept. new employees/residence & external contractors with the coordination of Equates Technical Training Discipline Activity Specialist "Coach" & Environmental Health & Safety Expert Representative
•Organizing materials labels & pasting each material wise for easy identification & tracking.
•Preparing monthly timesheets for Resident Contractors (KDSC/USO/TRUST/NK)
•Ordering stationary for employees & stores contractors, maintain log sheet & tracking
•Creating ITSR/RFC for different Stores related jobs
•Sending monthly activities reports to our stores Sr. Inventory Planners (K. P.)
•Scheduling the meetings with vendors, supplier, contractors on internal/external level
•Assisting “Stores Senior Material Advisor” on various administrative works.

•Maintaining files (tracking & filing) & Monitor stationary items and ordering
•Updating stores manual Policies based on mutual decision of stores team
•Handle various document’s for distribution to the concerned units/persons
•Deals with EQUATE All incoming courier mails from FedEx/TNT/DHL/N-K & distribute accordingly
•Daily attendance checking & updates MM-Dept. sign board for employees In & Out (Tracking)
•Deals with sick leave process, leave requestor, OT & late coming
•Deals with monthly Invoices of telephone, mobile and faxes
•Taking care of fax, printer and copier machines
•Fax segregation and distribution to the concern
•Sending monthly report for Contractors Headcount to HR (Human Resource) department

Sales as Investment Recovery & Logistics:
A major responsibility is preparing all the Invoices every 4th of Month related to Investment Recovery & Process after collecting the weight bridge slips for (PE/PP/Steel Scrap/PPIC & Others materials that were sold through IR and generates the waste plastic price after receiving the unit price from our senior finance controller (M. Hunt) *HO”

•Sales through Investment Recovery Work Process & Documentation
•Sales of PE-PP Waste/Mono FFS Bags/Stretch Hood/Metal Waste/ Wooden Pallets & Used Lubricant Oil
•Preparing Long & Short terms Sales Contracts related to IR only
•Preparing Spot Sale Agreement & Sales Invoices
•Preparing Monthly Yearly Investment Recovery Sales Reports
•Tracking & Follow-up of all sales through Investment Recovery
•Coordinate the tendering process of investment recovery in a manner consistent with Equate policies & procedures
•Coordinating locally with different Transportation companies & making the necessary arrangement of the materials & logistics, supervising all the dispatching of sold material through IR.

Dispatcher of Local Purchase for Industrialist Materials:
•Logs all the requests in Dispatcher’s Materials log sheet
•Schedules driver to make pick-up and/or delivery to the concern
•Collects all documents (RFQ/PR/P.O, etc) and matches to log sheet
•Follow-up with end users or buyer for issuance of Purchase Requisition/Purchase Orders according to units requests
•Hold all documents until Purchase Orders is created then show log as complete and forwarded all the documents along with the P.O number to Stores receiving section.
•Keep follow-up for all incomplete or pending orders

Preparing Insurance Claims for damaged materials:
•Preparing Insurance claims as (CFR-FOB or EXW) based on Material Damage report received from the concern units/dept. & processing within the 24 hours of time period, by generating Bill of Lading/Certificate of Origin/Packing List, or Commercial Invoices, and taking the necessary photos of the damaged material if required upon request by GIC.
•After completion of claim, forward to the GIC (Gulf Insurance Company) for further processes.
•Keeping all the record & tracking the claims for payment refund upon confirmation from GIC.
